We created Vendor Solutions a few years ago to use for our own vendor and contract management. Since then, we’ve sold it to a lot of credit unions and other organizations that have given us feedback to make the product better and better.

The ‘Vendor Solutions: Did You Know?’ articles will highlight the most recent updates or interesting features of Vendor Solutions. These features are investments we’ve made in the product for our clients to add the value and functionality needed to succeed.

Selecting Recipients for Late Vendor Reporting

When a contract is needed from a vendor to continue the business partnership, Vendor Solutions can easily send you a reminder. Since you may be working with hundreds of vendors, manually entering email addresses of the individuals that should receive these reminders for each and every one of these vendors, can seem challenging.

What you may not know, however, is that Vendor Solutions allows you the ability to quickly and easily identify a list of the individuals on your staff that you wish to report these late contracts to. Once this list is set, simply select the targeted recipient from a dropdown list on the corresponding vendor’s page. Let’s take a closer look at how this works.

Login and Navigation to the ‘Add User and Company Information’ Page

Begin by logging into the VendorSolutions.org site with your email and password.

Once logged in successfully, the Vendor Solutions welcome screen displays. Select the ‘Add User and Company Information’ button. 

Use the options available in the ‘Current Report Recipients’ section at the bottom of the ‘Add User and Company Information’ page, to add, edit, or remove individuals that receive late vendor reporting notifications.

Adding a New Report Recipient

To add a new Report Recipient to the site, enter the intended recipient’s Name, Position, and Email in the fields provided, then select the ‘Create Recipient’ button to generate the new recipient.

Editing an Existing Report Recipient

To edit the information of an existing Report Recipient, select the pencil icon that corresponds to the desired individual, perform the updates to their information as needed, then select the ‘Update Report Recipient Information’ button to save the changes made.

Removing an Existing Report Recipient

To remove an existing Report Recipient, select the trashcan icon that corresponds to the desired individual, then confirm the deletion on the popup message to finalize the removal of the Report Recipient.

Once all of the individuals that late vendors should be reported to have been added to the ‘Current Report Recipients’ list, they can be easily assigned on each vendor page using the dropdown selection options on the ‘Send Reminder To’ and the ‘Report To’ fields.
